Billing Coordinator (Vancouver)

ABOUT THE ROLE

The Billing Coordinator is a new role at MT+Co. and will be part of the growing Finance team.  This role will have the flexibility to make our billing process “your own” and will be key in helping the firm adopt better billing and collections practices.

This particular role will involve reporting to the Accounting Supervisor. While the firm is generally supportive of hybrid remote work, in-office needs come up that will require you to attend the office.  We aim to ensure our people have the flexibility to work remotely a few days per week (subject to business needs and performance).

EXPERIENCE

Ideally,  you have 3+ years of strong administrative experience, preferably in the area of billing within the legal industry or professional services. a professional services firm.

A reasonable estimate of the salary range for this role is CAD $60,000.00 – $80,000.00 at the time of this posting. Within the range, individual pay is determined by factors such as market rates, job-related skills, relevant experience, and education and/or training.

Please note that the range reflects the base pay only and does not include our competitive bonus program, 100% employer-paid benefits, and various other perks offered by the firm.

GENERAL DUTIES

While our firm is constantly evolving (and flexibility is key), as of right now, this role is responsible for administering the firm’s monthly billing cycle, which generally includes:

  • Generating prebills and managing the electronic process of getting them reviewed, edited, and signed off on by the appropriate lawyers
  • Generating final bills and sending them to clients via email by the billing deadline (including amendments to bills, as needed)
  • Communicating with clients regarding Accounts Receivable (AR), trust balances, payments, and other administrative financial matters
  • Ensuring lawyers are entering their time regularly and holding them accountable to billing deadlines
  • Preparing billing reports for clients and management, as needed
  • Preparing reports on client revenue for management, as needed
  • Tracking, monitoring, and reporting on budgets set for client matters, as needed
  • Identifying and addressing inefficiencies around the firm’s billing process
  • Opening, closing, and maintaining client files with up-to-date information, such as tax status, rate exemptions, and quote estimates
  • Working closely with the collections department on AR
  • Managing invoice-related requests both internally and externally
  • Posting disbursements weekly and monthly
  • Onboarding and training new employees on the firm’s billing process
